Auto-Assign

Let ClinicShifts automatically assign providers to unassigned shifts based on availability, roles, and location assignments.

Auto-Assign is a powerful feature that automatically fills unassigned shifts with eligible providers, saving you significant time when building schedules.

How Auto-Assign Works

When you trigger Auto-Assign, the system analyzes all unassigned shifts on the current schedule view and attempts to fill them by considering:

  • Location assignments — only providers assigned to a location in StaffPulse Settings are considered for shifts at that location
  • Role matching — if a shift has a specific role requirement, only providers with that role are eligible
  • Availability — the system avoids assigning providers who already have shifts on the same day, or who have time off scheduled
  • Conflict prevention — the algorithm avoids creating overlapping in-person shift assignments

Using Auto-Assign

  1. Make sure your unassigned shifts are visible on the schedule (create them first if needed)
  2. Click the Auto-Assign button (sparkles icon) in the top-right operations panel
  3. The system will process the assignments and update the schedule

Auto-Assign creates draft assignments. Review the results and make any manual adjustments before publishing.

Getting the Best Results

For Auto-Assign to work effectively, make sure your configuration is accurate:

  • Assign employees to the correct locations — only assign providers to locations where they regularly work. If everyone is assigned to every location, the algorithm has no useful information to work with.
  • Set provider roles correctly — make sure each employee's roles are up to date in StaffPulse Settings
  • Mark time off — add PTO and time off in the Calendars section so the algorithm knows who is unavailable
  • Use role-specific shifts — setting a role on your shifts (instead of "Any role") gives the algorithm better constraints to produce accurate assignments

After Auto-Assign

After running Auto-Assign:

  1. Review the results — check that assignments make sense
  2. Make adjustments — manually reassign any shifts that need changes
  3. Resolve warnings — check for any conflict warnings
  4. Publish — once satisfied, publish the schedule to notify providers
